The most common worry we hear is “how can you plan our whole event when we’re not there?” Fair question. Here is the actual process, stage by stage — no mystery, no jargon.

The principle: distance, designed out

Everything about how we work is built to make physical distance a non-issue. One named planner, written summaries at every stage that you can forward and approve, and a production team that delivers on the ground so nothing depends on you being in the room. Here is how that plays out across five stages.

1. Enquiry

It starts with a short call or message in your timezone. We learn the brief — the dates, the guests, the ambition, the budget — and tell you honestly what is realistic. No commitment, no pressure.

2. Concept & quote

Within days you receive a draft concept, venue options with honest pros and cons, and a single, itemised quote. Everything is in writing and structured so stakeholders can review and approve remotely — no guesswork about what is included.

3. Planning

Once you are happy, one planner owns your project end to end. Regular video reviews, shared mood boards and run sheets, and an updated budget as decisions are made. Nothing gets committed without your sign-off. This is where trust is built — by showing you everything, on a schedule.

Remote planning is not planning with less information. Done well, it is planning with more — because every decision is written down, shared and approved.

4. Delivery

On the day, our own production team runs the event — managing venues, suppliers, transport and timings on site. You and your guests arrive to something already handled, and experience it as guests rather than organisers.

5. Aftercare

After the event: final supplier settlement, a written debrief within the week, and delivery of photography and film to follow. The relationship is built to last beyond the day.

Less than you might think — a clear brief, timely sign-offs at each stage, and availability for a handful of video calls. We carry the rest. That division of labour is the whole point: your event, our legwork.
